The short answer
Sales automation software runs the repeatable parts of selling on rules and triggers: it logs activity, routes leads, builds and enriches lead lists, sends sequences, books meetings and sends quotes. Automate in that order, starting with the CRM, because every other tool reads from it. The best picks for 2026 are HubSpot Sales Hub for small and mid-sized teams, Salesforce Sales Cloud for complex processes, Cleanlist AI (our product) to automate finding buyers and their verified contact data, and Zapier to connect the rest.
To automate the first lookup on that list today, put a name and a company into our email finder: it returns the verified work email inside a Cleanlist AI workspace, and the step-by-step below takes the same job from one lookup to a weekly agent.
What is sales automation software?
Sales automation software is any tool that runs a repeatable sales task on a rule or a trigger, so no rep does it by hand: logging an email, assigning a new lead, adding a contact to a sequence, sending a reminder or building a quote. "Automated sales software" names the same category, and "sales force automation" (SFA) is the older term for the CRM-centered part of it.
The time at stake is most of the week. Salesforce's 2026 sales statistics page says reps spend 60% of their time on non-selling tasks, citing its seventh State of Sales report, a survey of 4,000+ sales professionals.
The category has three layers, and most teams need one tool from each:
- The CRM and its workflows record, route and remind: HubSpot and Salesforce.
- Data and outreach find buyers, fill in contact data and send: Cleanlist AI, Apollo, Clay and the sequencers.
- The glue and the paperwork connect tools, book meetings and send quotes: Zapier, Calendly and PandaDoc.
What to automate first
Automate in the order the data flows. Each step feeds the next, so a broken early step multiplies down the line: a sequence fed unverified addresses bounces at scale, and routing on empty fields assigns leads to nobody.
| Order | Task | What the automation does | Rule that keeps it working | Tools on this list |
|---|---|---|---|---|
| 1 | Activity logging | Emails, meetings and calls land on the CRM record with no typing | Turn it on first, since every report depends on it | HubSpot, Salesforce |
| 2 | Lead routing | Assigns each new lead to an owner by territory, size or account | Route within minutes of the form fill | HubSpot, Salesforce, Calendly |
| 3 | List building and enrichment | Finds people who match your ICP and fills in verified emails and phone numbers | Verify every address before it enters a sequence | Cleanlist AI, Apollo, Clay |
| 4 | Sequences and follow-up | Sends the next email or creates the next call task on schedule | Stop the sequence on a reply or a booked meeting | HubSpot, Apollo, the sequencers below |
| 5 | Meeting booking | Lets the buyer pick a time and sends reminders | Route the meeting to the account owner | Calendly |
| 6 | Quotes and signatures | Builds the quote from CRM data, gets approval, collects the signature | Set approval rules for discounts | PandaDoc, Salesforce |
Call notes and CRM updates after meetings are the seventh job, and AI now does most of it. Our AI sales assistants comparison ranks the tools for it, from Gong to Fathom.

Disclosure: Cleanlist AI publishes this page and is third of the 8, labeled as our product. HubSpot and Salesforce sit above it, and the three sequencers, Outreach, Salesloft and lemlist, are covered after the list, unranked. The order follows the order to automate in, for a B2B team of 5 to 50 reps, and carries no score. Every price was read on the vendor's own page on November 4, 2026.
1. HubSpot Sales Hub: best for small and mid-sized teams that want one system
Price (read November 4, 2026): free for up to 2 users. Starter starts at $7 a seat a month, a discount for new customers. Professional starts at $90 a seat a month plus a required $1,500 onboarding fee, and Enterprise at $150 a seat plus $3,500 onboarding.
HubSpot's automation starts in the CRM. Starter includes up to 50 workflows with restricted triggers and actions, calling, the Prospecting agent and 500 HubSpot Credits a month. Professional allows up to 300 fully customizable workflows and adds sequences: 5,000 per account, with up to 500 email sends per user a day. Enterprise allows up to 1,000 workflows, lets a workflow start a sequence and raises sends to 1,000 per user a day. LinkedIn steps in a sequence need a Sales Navigator subscription.
Best for: teams that want the CRM, routing and sequences on one bill, set up without a full-time admin.
2. Salesforce Sales Cloud: best for complex processes and larger teams
Price (read November 4, 2026): a Free Suite at $0. Starter Suite $25 a user a month, billed monthly or annually. Pro Suite $100 a user a month, billed annually, and editions above it up to Max at $550. Agentforce for Sales is an add-on from $125 a user a month, included in Max.
Even Starter Suite syncs emails, events and contacts to the CRM on its own. Pro Suite adds quoting and forecasting with more customization and automation, and Salesforce's automation tools include Flow Builder and approval processes. Agentforce adds AI agents, among them an SDR agent that qualifies leads and books meetings before a rep takes over.
Best for: teams with several products, territories or approval steps, and an admin to build the rules.
3. Cleanlist AI (our product): best for automating the top of the funnel
Disclosure. We make Cleanlist AI. Its 98% verified email and 85% direct dial figures come from our own 500-lead benchmark, which named no other vendor.
Cleanlist AI automates the work before the first reply: finding buyers, getting their verified emails and phone numbers, scoring their fit and starting the sequence. Clu, Cleanlist AI's GTM agent, turns one sentence into a search across 1B+ profiles, then into an agent that repeats it every week or when a CRM record changes. Each person is enriched across 25+ data providers, at 1 credit per verified email and 10 per phone number, with nothing charged for a miss.
Our product
Cleanlist
Best for: lean GTM teams that want one platform in place of 3 to 5 tools: AI agents that find buyers, get verified emails and phone numbers from 25+ providers and send the sequences.
Cleanlist AI publishes this page. Accuracy figures are from our own benchmark, not a third-party test.
Cleanlist AI runs waterfall enrichment across 25+ data providers in sequence and stops at the first deliverable result, at 1 credit per verified work email and 10 per phone number. Clu, Cleanlist AI's GTM agent, turns one sentence into an agent that searches 1B+ profiles, enriches and verifies every person it finds, adds them to a sequence and posts each run to Slack, every week or on a CRM trigger.

- Fits when
- Your CRM and sequencer run well, and the slow part is getting the right people into them with contact data that works
- You want one agent to find new ICP matches every week, enrich them and add them to a sequence
- Your reps call as well as email, so each row needs a phone number
- Pairs with
- HubSpot or Salesforce. On Pro, Cleanlist AI writes enriched records to either one and imports from it on a schedule
- Your sequencer, if you already run one. Cleanlist AI pushes to Salesloft and lemlist, and its own Sequences send from your inbox
- A dialer, if your reps call at volume
Agents run on Pro, 5 active at a time, and the MCP server comes with Starter. The prospecting automation agent shows one weekly run in full.
4. Apollo: best for one seat that finds, emails and calls
Price (read November 4, 2026): free with 900 credits a seat a year, granted monthly. Basic $49, Professional $79 and Organization $119 a seat a month, all billed annually, with Organization at a 3-seat minimum. Apollo says annual billing saves 24%.
Apollo automates with workflows and sequences on top of its own contact database: 2 workflows per team on Free, 5 on Basic, 50 on Professional and 500 on Organization. Every paid plan has unlimited sequences and a US dialer whose calls use credits. An email costs 1 credit and a phone number 8, and credits reset each billing cycle.
Best for: founders and small teams that want to find, email and call from one tool.
5. Clay: best for RevOps teams that build their own data workflows
Price (read November 4, 2026): free with 500 actions and 100 data credits a month. Launch is $167 a month billed annually, or $185 monthly. Growth is $446 a month billed annually, or $495 monthly, and adds CRM auto-sync. Enterprise is custom, and higher action and data-credit levels cost more on every plan.
Clay builds tables that pull data from 150+ providers and its Claygent AI research agent, then pushes the rows to other tools. Launch adds phone number enrichment, job-change and other signals, and email sending. CRM integrations start on Growth.
Best for: RevOps and growth teams with someone who likes building workflows.
6. Zapier: best for connecting the tools you already have
Price (read November 4, 2026): free for 100 tasks a month, with two-step Zaps. Professional from $19.99 a month billed annually for 750 tasks, or $29.99 monthly. Team from $69 a month billed annually for 2,000 tasks, or $103.50 monthly, with up to 25 seats. Enterprise is custom, and Zapier Agents are a separate add-on.
Zapier runs a Zap when something happens in one app, such as a deal changing stage or a form being filled, and then acts in another. Multi-step Zaps and premium apps start on Professional.
Best for: small teams whose tools do not talk to each other yet.
7. Calendly: best for booking and routing meetings
Price (read November 4, 2026): free. Standard $10 a seat a month and Teams $16 a seat a month, billed yearly. Enterprise starts at $15,000 a year with a 50-seat minimum.
Calendly lets a buyer book a time that fits the rep's calendar and sends the reminders. Standard connects to HubSpot and adds automations and reminders. Teams adds routing forms that qualify, route and schedule leads, and sends meetings to Salesforce.
Best for: teams that want a demo request to become a booked meeting with the right rep, with no email back and forth.
8. PandaDoc: best for quotes, proposals and e-signature
Price (read November 4, 2026): free, with e-signatures. Starter $19 a seat a month and Business $49 a seat a month, billed annually. Enterprise is custom.
PandaDoc builds proposals and quotes from templates and collects e-signatures on every plan. Business adds CRM integrations, with Salesforce as a paid add-on, and approval workflows for discounts. CPQ is an Enterprise add-on.
Best for: teams that send proposals and contracts every week.
Sequencers: Outreach, Salesloft and lemlist (unranked)
In most stacks a sequencer does the sending, so these three are described here without a rank. Cleanlist AI pushes lists to Salesloft and lemlist. Our sales engagement platforms comparison covers the category in full.
Outreach. No published price. Outreach bills seat-based access plus consumption-based AI credits. Multi-channel sequences start in its Amplify Core package (25,000 AI credits), and Amplify Pro (100,000) adds forecasting.
Salesloft. No published price; the pricing page leads to a sales conversation. Salesloft lists Cadence for sequences, along with Conversation Intelligence, Deals, Rhythm and AI Agents, and Clari Forecast for revenue leaders.
lemlist. Email is $55 a month billed yearly, or $69 monthly, for 50,000 emails a month with unlimited users and senders. Multichannel is $87 a month billed yearly, or $109 monthly, priced by user, and adds LinkedIn, SMS and calls.
Cleanlist AI pushes leads to Salesloft and lemlist, so an agent can fill either one with verified contacts every week.
How to automate list building, step by step
List building is the step most teams still do by hand, and every sequence depends on it. Here it is automated with Cleanlist AI, from a single lookup to a weekly agent.
- Try one lookup. Put a name and a company into the email finder. Cleanlist AI checks 25+ providers in sequence and verifies the email before you get it, at 1 credit per verified email, and a miss costs nothing.
- Open the workspace. New workspaces start with a 14-day Pro trial: up to 3 seats and 250 credits, plus 100 more for signing up with a work email. A card is required, and the Free plan keeps 50 credits a month after the trial.
- Describe the list. Tell Clu who you sell to, such as "Heads of RevOps at US software companies with 51 to 200 employees." Clu shows the filters it wrote, and searching costs 0 credits, so check the count before you spend.
- Enrich it. A verified email is 1 credit and a phone number 10, so 200 people with emails cost at most 200 credits. The 750 credits a Starter seat adds each month cover about 750 emails, or 68 people with both an email and a phone number.
- Connect the sequence. Add the list to Cleanlist AI's own Sequences, which send from your inbox, or push it to Salesloft or lemlist. On Pro, sync it to HubSpot or Salesforce, so your CRM's routing and tasks take over.
- Schedule it. Ask Clu to turn the search into an agent. Every Monday it runs the search, skips anyone it sent before (and, if you choose, anyone already in your CRM), finds and checks each work email, and posts the verified ones in Slack.
What you get: a list that refills itself every week, with a verified work email on each row and a phone number where you asked for one. Clu and agents also spend credits based on the work they do, and Clu turns an agent on only after you say yes.
What a sales automation stack costs: a 5-rep example
List prices read November 4, 2026, for a team of 5 reps. Your seat count, credit volume and billing period change the total.
| Layer | Tool and plan | Monthly cost for 5 reps |
|---|---|---|
| CRM, workflows and sequences | HubSpot Sales Hub Professional, from $90 a seat | $450, plus $1,500 one-time onboarding |
| Prospecting and contact data | Cleanlist AI Starter, $49 a seat | $245, with 3,750 credits a month |
| Connecting apps | Zapier Professional, 750 tasks, billed annually | $19.99 |
| Meetings | Calendly Teams, $16 a seat, billed yearly | $80 |
| Quotes | PandaDoc Starter, $19 a seat, billed annually | $95 |
| Total | About $890 a month, plus $1,500 in the first month |
A founder selling alone can start at $0: HubSpot's free CRM covers 2 users, and Calendly, Zapier and Cleanlist AI all have free plans. Pay for a layer once its free limit is the thing slowing you down.
Five sales automation mistakes
- Automating before the data is clean. Duplicate records and unverified emails get worse at machine speed. Clean the CRM and verify addresses before any sequence goes live.
- Sequences with no stop rule. Every sequence should stop on a reply, a booked meeting or an unsubscribe, or it will email a buyer who already said yes.
- One tool per task. Each tool is another login, sync and bill. List what your CRM already automates before you buy anything else.
- No owner. Workflows break quietly when a field or a stage changes. Give each automation an owner and check it monthly.
- Automating a step nobody agreed on. Write the process down first. A rule that routes leads by a definition sales does not accept only moves the argument into the CRM.

Frequently asked questions
What is the difference between sales automation and a CRM?
A CRM stores the records: contacts, companies, deals and activity. Sales automation acts on them, assigning, sending, reminding and updating on rules. Most CRMs now include automation, which is why HubSpot and Salesforce sit on both sides of the line.
What is sales force automation (SFA)?
SFA is the older name for CRM-centered automation: contact management, opportunity tracking, activity logging and forecasting. Today "sales automation" also covers the tools around the CRM, such as contact data, sequencing, scheduling and quotes.
Is sales automation software worth it for a small team?
For the two tasks that repeat most, logging activity and sending follow-ups, usually yes. A team of 1 or 2 can start on free plans and pay once volume grows. The first paid tool should be the one that removes the task your reps do most often.
Can sales automation hurt email deliverability?
Yes, when it sends to addresses nobody checked or sends too much from one inbox. Verify every address before it enters a sequence, keep each inbox at a steady daily volume and stop sequences on a reply. HubSpot, for example, caps sequence sends at 500 per user a day on Professional.
How long does it take to set up sales automation?
Plan about a week per layer: CRM logging and routing first, then lists and one sequence, then scheduling and quotes. Let each layer run for two weeks before the next one goes in, so you can see what broke and fix it while the setup is small.
What is AI sales automation?
AI adds judgment to the rules. A rule assigns every lead from Texas to one rep; an AI step reads each lead first and decides whether it fits your ICP, or writes the first line of the email. Most teams run both: rules for routing and timing, AI for research, scoring and writing.
