What is lead routing?

Lead routing is the step between "a lead exists" and "a rep owns it." A form fill, a demo request, a trial signup or an imported list creates a record, and a routing rule decides who works it. Good routing does three things on every record:

  • Matches it. If the person works at a company you already sell to, the account owner gets it.
  • Qualifies it. It decides whether the lead is worth a rep's time, and which segment or territory it belongs to.
  • Assigns and alerts. It sets the owner, notifies the rep, and starts the clock on a response-time target.

Lead routing software automates those three steps. CRMs include a basic version. Dedicated tools add account matching, fair distribution with caps and availability, instant meeting booking and response-time tracking.

The 10 lead routing tools, one by one

Chili Piper

Best for: inbound teams that want the form to qualify, route and book the meeting in one step.

Chili Piper's Routing & Scheduling plan starts at $1,250 a month, or $15,000 a year, with 15 seats included and $45 a seat a month after that. It includes 45,000 AI credits a year for enrichment and agents. Its Salesforce routing covers any standard or custom object, SLAs, fuzzy lead-to-account matching, duplicate merging, weighting and caps. Concierge Live can put a qualified visitor on an instant call from the form. Multi-year contracts take 15% to 40% off.

LeanData

Best for: Salesforce orgs with complex territories, account-based selling and many objects to route.

LeanData is built on Salesforce. Its Standard edition includes lead-to-account matching, round robin, territory and account-based assignment, deduplication and enrichment, and routing audit logs, with higher editions for more objects and multi-segment plays. Its pricing page lists the editions with no prices.

Default

Best for: inbound teams that want enrichment, routing and scheduling in one workflow tool.

Default's Growth plan is $1,250 a month, or $15,000 a year billed annually, with 24,000 enrichment credits and 200,000 workflow runs a year. Reps who take routed meetings need a Routing + Scheduling seat at $45 a user a month, which covers queues, object routing, round robins, booking links and handoffs. Scale is $3,000 a month. Unused credits and runs roll over within the annual agreement.

Distribution Engine

Best for: Salesforce teams that want fair round robin with availability, caps and SLAs at a per-user price.

Distribution Engine is a Salesforce app, with a 30-day free trial on the AppExchange. Plans are $20, $35 and $55 a user a month on annual billing. Every admin, manager and rep who uses it needs a license. It routes any object, including custom ones, with round robin, load balancing, weighting, territories, SLA tracking, missed-SLA reassignment, shift planning and out-of-office handling.

RevenueHero

Best for: HubSpot teams that want form-to-meeting routing at a small-team price.

RevenueHero's Inbound Essentials plan is a $79 a month platform fee plus $25 a user a month on yearly billing. It qualifies on form and enriched values, routes by round robin or custom logic, matches on domain and books the meeting from the form. Enterprise ($35 a user a month on the same platform fee) adds fuzzy matching, matching on any custom property, lookup fields and collective round robin. It integrates natively with HubSpot, Salesforce, Zoho and Attio, with no admin licenses and unlimited form submissions.

HubSpot Rotate record to owner

Best for: HubSpot Professional teams with simple even-rotation needs.

HubSpot's Rotate record to owner workflow action is included in Sales Hub and Service Hub Professional and Enterprise. It assigns records evenly across chosen users or a team, on the owner property or any custom user property. For lead (beta) and ticket records it adds load balanced, round robin and random distribution. Two limits: every user in the rotation needs a paid Sales or Service Hub Professional or Enterprise seat, and for most record types HubSpot rotates one record at a time, so a burst of new records takes longer to clear. Sales Hub Professional starts at $90 a seat a month, plus a required $1,500 onboarding fee.

Salesforce lead assignment rules

Best for: Salesforce teams routing on a few fields such as country, company size or lead source, with no budget for an app.

Lead assignment rules are built into Salesforce. Salesforce's help center lists lead assignment rules in Group, Essentials, Professional, Enterprise, Performance, Unlimited and Developer editions. You set one active rule, and its entries run in order: each entry has up to 25 filter criteria or a formula, and the first match assigns the lead to a user or queue. A lead that matches nothing goes to the default Web-to-Lead owner, or to the admin running the import.

Calendly

Best for: teams whose routing ends in a booked call and who already schedule in Calendly.

Calendly's Teams plan, $16 a seat a month billed yearly, adds round robin, lead qualification and routing, and sending meetings to Salesforce. HubSpot connects from the Standard plan. Enterprise starts at $15,000 a year for 50 seats and adds routing with a Salesforce lookup.

Cal.com

Best for: small teams that want routing forms and round robin at the lowest seat price.

Cal.com's Teams plan is $12 a user a month billed yearly and includes routing forms, round robin and team scheduling. Two-way Salesforce and HubSpot sync is on its free plan. Organizations is $28 a user a month.

LeadAngel

Best for: teams on Microsoft Dynamics 365, or mixed-CRM teams that need lead-to-account matching.

LeadAngel offers Professional and Professional Plus plans, both priced through sales. It covers two-way lead-to-account matching, round robin and weighted round robin, queue management and account mapping, with lead, contact, account and opportunity routing and deduplication on Professional Plus. Its feature table covers Salesforce, Microsoft Dynamics 365 and HubSpot.

Best lead routing for HubSpot

Start with HubSpot's own workflows if you are on Sales Hub Professional or Enterprise and route by simple rotation. It adds no cost to the seats you already pay for.

Add RevenueHero when inbound forms should qualify, route and book in one step on a small-team budget. Add Chili Piper when inbound volume is high enough that a $15,000-a-year platform pays for itself in booked meetings. Pick Default if you also want enrichment and workflow automation in the same tool.

One HubSpot-specific trap: if HubSpot's owner field syncs to Salesforce, HubSpot warns that Salesforce may write the previous owner back after a rotation. Pick one system to own routing.

Best lead routing for Salesforce

Start with lead assignment rules for routing on a handful of fields. They come with the CRM and every admin knows them.

Add Distribution Engine when you need fair round robin with caps, availability and SLA tracking, at $20 to $55 a user. Add LeanData when routing depends on matching leads to existing accounts across territories and objects at enterprise scale. Add Chili Piper when the form should also book the meeting. Pick LeadAngel if part of the business runs on Microsoft Dynamics 365. Teams that work Salesforce from Claude or ChatGPT can also check and change owners through the Salesforce MCP server.

Why routing breaks: missing data on the inbound record

Most inbound forms collect a name and an email. Most routing rules need a company size, a country, an industry and a match to an existing account. That gap is where leads stall.

  • No company size, so a 2,000-person company lands in the SMB round robin.
  • No country, so the territory rule never fires and the lead drops to the default owner or queue.
  • A personal email, so domain matching cannot find the account, and an existing customer's new champion goes to a new rep.
  • No phone number, so the rep who gets the lead fast still cannot call it fast.

The fix is to enrich before you route: verify the email, fill company size, industry and country from the domain, match the account, then apply your rules. Chili Piper, Default and RevenueHero all build enrichment into the routing step. If your routing tool has none, run waterfall enrichment on record creation and route on the enriched fields. Round robin, territory and account matching rules

Every routing setup is a stack of these four rules, in this order.

  1. Account matching. If the lead belongs to an account someone already owns, route it to that owner. Match on email domain first, then company name. LeanData, LeadAngel and Chili Piper are built around this match, and fuzzy matching (Chili Piper on Salesforce, RevenueHero Enterprise) catches "Acme Inc" versus "ACME Corporation."
  2. Territory or segment. Route by country, region, company size or industry to the team that covers it.
  3. Round robin inside the team. Rotate evenly, or weight it toward senior reps, with caps so one rep cannot take ten leads in an hour, and skip reps who are out of office.
  4. Fallback. A named owner or queue for anything no rule matched, checked daily.

Keep the rules in one tool. Two systems that both set the owner will overwrite each other.

Speed to lead: how fast routing has to be

Speed to lead is the time from a form submission to the first rep touch, and routing is the first part of it. The delay usually sits in one slow step: a rule that waits for an overnight enrichment job, a queue a manager clears in the morning, or a rotation that holds records in line.

Three ways to keep it short:

  • Set an SLA and measure it. Distribution Engine, Chili Piper and LeanData all track response-time SLAs, and Distribution Engine reassigns leads when one is missed.
  • Book from the form. Chili Piper, RevenueHero, Calendly and Cal.com show a qualified visitor the right rep's calendar before they leave the page.
  • Alert reps where they already work. A Slack direct message with the lead's context, company and owner reaches a rep between calls.
