The short answer

ChatGPT for sales means using OpenAI's ChatGPT for the research, writing and practice around every deal: account briefs, outreach and follow-ups, call prep, objection practice, call recaps and pipeline reviews. The 12 prompts below cover each job. On its own, ChatGPT has no contact database and no view of your CRM, so it guesses email addresses and knows only what you paste. To fix that, connect apps such as HubSpot's official connector, or a custom MCP server for any other tool. As of October 30, 2026, OpenAI gives full custom MCP access to Business, Enterprise and Edu workspaces, and read-only access on Pro. A Business seat is $25 a month, or $20 billed annually.

Checked October 30, 2026. Every OpenAI fact comes from OpenAI's help center, and every connector fact from the vendor's own documentation, read that day. ChatGPT's plans and features changed several times this year, so check the dates. We make Cleanlist AI, which runs an MCP server for contact data, so read that section as a vendor's description.

What can ChatGPT do for a sales team?

Sales jobWhat ChatGPT doesWhat to give it or connect
Account researchReads a company's site, filings and news, then writes a brief with a source for each factWeb search, plus your CRM notes
Outreach and follow-upsDrafts replies, follow-ups and notes to new stakeholders from facts you supplyThe Gmail or Outlook app, to pull in the thread
Call prepBuilds a discovery plan, a demo agenda and the questions to askYour notes and the account brief
Objection handlingWrites talk tracks and plays a skeptical buyer so you can practiceYour product facts, pricing and customer stories
Call recaps and CRM notesTurns a recording or transcript into a recap email and CRM fieldsChatGPT Record on the Mac app, or a transcript
Pipeline reviewReads your open deals and flags the stalled onesA CRM export, or the HubSpot app

Two habits make every prompt below better. Keep your product facts, pricing, ideal customer profile and best customer stories in a Project, so you never paste them twice. And ask for a source URL on every fact about a prospect, then open it before you repeat it to a buyer.

12 ChatGPT prompts for sales, by task

Cold emails and list building are covered in our ChatGPT for lead generation guide. These twelve cover the rest of the deal.

Research

1. A pre-call brief that shows what changed

I have a call with [name], [title] at [company] ([domain]) on [date].
Our last CRM notes: [paste].

Search the web for what changed at [company] in the last 90 days:
news, funding, leadership changes, launches, open roles in [team].
Give every fact a source URL and a date. If a category has nothing,
write NOTHING FOUND. Then list 3 questions for the call, each tied
to one fact.

2. Their problem, in their own words

Read [company]'s latest annual report, its last earnings call
transcript and its open job posts for [team]. Quote word for word,
with the source, every sentence about [the problem we solve]. Then
summarize in 3 bullets what they say they will do about it this year.

Outreach

3. Reply to "just send me some info"

A prospect replied: "[paste reply]". From my notes: [role, company,
what they care about]. Write a reply under 70 words that sends one
resource matched to their problem, says what it answers for them and
asks a yes or no question that leads to a call. Ban "just following
up" and "circle back".

4. Follow up after a no-show

[Name] missed our call today. We planned to cover [topic]. Write a
3-sentence email with no guilt, one new fact useful to them about
[their problem] and two time options next week. Then write a one-line
LinkedIn message that says the same thing.

5. Bring in the person who signs

My champion is [name, title]. The person who signs is [name, title].
What the champion says matters: [notes]. Draft a note under 120 words
that my champion can forward to [signer], stating the result in their
terms (cost, revenue or risk) and using this number from discovery:
[number].

Call prep

6. A discovery plan that fills the gaps

Everything we know about this deal: [paste notes]. Map it against
MEDDICC: Metrics, Economic buyer, Decision criteria, Decision process,
Paper process, Identify pain, Champion, Competition. Mark each KNOWN,
PARTLY KNOWN or UNKNOWN. For each gap, write one open question I can
ask naturally on a 30-minute call.

7. A demo agenda built around the room

Attendees: [names and titles]. Their priorities: [notes]. What our
product does: [3 to 5 capabilities]. Build a 30-minute demo agenda
that shows each attendee the one thing they care about, starting with
whoever decides. Flag anything they asked for that we cannot do, so I
can raise it first.

Objection handling

8. An objection bank for your product

Our product facts, pricing and 3 customer stories: [paste]. List the
8 objections a [buyer title] at a [company type] is most likely to
raise about [product]. For each: what usually sits behind it, one
question to ask before answering, and a 2-sentence response that uses
only the facts above. Mark any response that needs proof I have not
given you.

9. Practice against a skeptical buyer

Play [title] at [company type]. You are busy, skeptical and happy with
[current tool]. Raise real objections one at a time and push back when
my answer is vague. After 8 turns, score me 1 to 5 on clarity, proof
and questions asked, and tell me what to say next time.

Run this one in voice mode to practice out loud.

10. A price objection, answered with their numbers

The buyer says we cost too much. Their numbers from discovery: [team
size, current tool cost, hours spent on the task, average deal size].
Our price: [price]. Show the math of what they spend today against
what they would spend with us, step by step, using only these numbers.
If a number is missing, ask me for it.

After the call

11. Recap email and CRM fields from a transcript

Call transcript: [paste or attach]. Write (1) a recap email under 150
words with decisions, owners and dates, and (2) these CRM fields: next
step, next step date, pain, budget, decision process, competitors
mentioned, risks. Quote the transcript for every field. Leave a field
blank if nobody said it.

12. A pipeline review from a CRM export

Attached is a CSV of my open opportunities with stage, amount, close
date, last activity date and next step. List deals with no activity
in 14 days, a close date in the past or no next step, with one action
for each this week. Then name the 3 deals that deserve the most time
and say why.

What ChatGPT can't do for sales on its own

  • Find live contact data. ChatGPT has no B2B contact database, so an email address or phone number it writes is a guess, and a wrong guess bounces from your domain. Get contact details from a data tool and verify them before you send.
  • See your pipeline. It knows only what you paste, upload or connect. Without the CRM, it cannot tell an open renewal from a cold account.
  • Guarantee facts about a prospect. Research answers can be stale or wrong, which is why every research prompt above asks for a source and a date.
  • Keep personal-plan data out of training by default. On Free, Go, Plus and Pro, OpenAI may use information from connected apps to train its models while "Improve the model for everyone" is on. Business, Enterprise and Edu are excluded by default (OpenAI help center, checked October 30, 2026). Turn the setting off before you paste customer data, or use a Business workspace.
  • Record a call without consent. ChatGPT Record transcribes and summarizes meetings in the Mac desktop app, and OpenAI tells you to get consent before you record others.

How to connect ChatGPT to your CRM and real data

ChatGPT reaches other tools in two ways: apps from its directory, and custom MCP servers.

Apps and plugins from the directory

An app connects ChatGPT to one service, such as HubSpot, Gmail or Slack. A plugin bundles apps with skills for a task. Open Plugins in the sidebar, or Settings and then Plugins, install the one you need and sign in to the service. In a chat, mention it with @ (OpenAI help center, checked October 30, 2026). Older versions of the mobile app may still say Apps. The sales apps that matter:

  • HubSpot. HubSpot's ChatGPT connector works on all HubSpot products and plans. It reads contacts, companies, deals, tickets and activities, and it can create and update records, up to 10 at a time, with no deletes. HubSpot recommends setting write tools to Needs Approval (HubSpot knowledge base, updated September 28, 2026, checked October 30, 2026). Our HubSpot MCP server review walks through the setup.
  • Salesforce. Salesforce opened an Agentforce Sales app in ChatGPT as an open beta on January 7, 2026, for customers with the Agentforce for Sales add-on or Agentforce 1 Edition. Reps can pull lead lists, update records and build account plans from the chat (Salesforce press release, checked October 30, 2026).
  • Gong. Gong's official MCP server answers deal and account questions in ChatGPT. Our Gong MCP server review covers the admin setup.
  • Gmail, Outlook and Slack. Connect them so drafts start from the real thread. Eligible users can also set a task to run when a new Gmail message or Slack channel message arrives.

Custom MCP servers

For a tool without an app, ChatGPT connects to its MCP server. MCP is an open standard that lets an AI assistant call a tool's actions. Here is what OpenAI's help center said on October 30, 2026:

  • Who can add one. Full MCP support is for Business, Enterprise and Edu workspaces on ChatGPT web. On Business, only admins and owners can add and publish a server. Enterprise and Edu admins can let chosen members add servers. Pro users can connect custom servers with read and fetch permissions only, and nobody can add one from mobile.
  • How. Open Plugins, select the plus button, then Add custom MCP server. Enter a name and the server's HTTPS address, set up authentication, accept the risk warning and select Create as a plugin. Review the tools it found, then test it in a chat by mentioning it with @.
  • Safety. ChatGPT can ask for confirmation before write actions, depending on each app's permissions: Always ask, Allow read actions, Allow low-risk actions or, for some apps, Allow all actions. For anything that writes to your CRM, keep Always ask. Once an admin approves a server, ChatGPT keeps a frozen copy of its tools until an admin refreshes it. Connect only servers you trust, because a malicious server can carry hidden instructions.

Getting live contact data into ChatGPT with Cleanlist AI

Disclosure. We make Cleanlist AI. Its 98% verified email and 85% direct dial figures come from our own 500-lead benchmark, which named no other vendor.

Cleanlist AI runs a remote MCP server at https://mcp.cleanlist.ai/v1/mcp with 30+ tools. People search and company search cost 0 credits. Verified work emails cost 1 credit and phone numbers 10, found through a waterfall across 25+ providers and charged only when something comes back. On our own 500-lead benchmark that waterfall returned 98% verified work email and 85% direct dial. Every paid call needs a signed quote from the server first. The quote expires in five minutes, and the server refuses a run that would cost more. The MCP server is included from Starter at $49 a seat a month and in the 14-day Pro trial, and syncing to HubSpot or Salesforce starts on Pro.

Two limits to know. In ChatGPT you add it as a custom MCP server and sign in with your Cleanlist AI account, so full use needs a Business or Enterprise admin to add it (Pro allows read and fetch only). And Cleanlist AI documents and tests Claude first: it has no ChatGPT app in the directory and no ChatGPT setup guide yet, so test it before you publish it to the team. The server is in beta. Setup details are on the Cleanlist AI MCP server page, and our Claude for sales guide covers the same job in Claude.

A prompt to try once it is connected:

@Cleanlist AI Find 10 Heads of Sales at US software companies with
51 to 500 employees, one per company. Show me the cost of their work
emails before you run anything, and wait for my OK.

Which ChatGPT plan does a sales team need?

PlanPrice (checked Oct 30, 2026)What it means for sales
Plus$20 a monthProjects, deep research and ChatGPT Record on the Mac app; custom MCP servers are not listed for Plus
Pro$100, $200 or $500 a monthHigher limits; custom MCP servers with read and fetch permissions only
BusinessStandard seat $25 a month, or $20 billed annually; Premium seat $125, or $100 billed annually; 2 seats minimumApps, company knowledge, deep research and agent included; full custom MCP servers, added by admins; no training on your workspace data
EnterpriseContact salesBusiness plus role-based control over who adds MCP servers, per-action controls and the Compliance API

A single rep testing these prompts can start on Plus. A team that wants ChatGPT connected to its CRM and a contact data tool needs Business, because that is where full custom MCP servers start and where customer data stays out of training by default. Prices come from OpenAI's help center articles on Plus, Pro tiers and Business.

Frequently asked questions

Can ChatGPT replace an SDR?

It does parts of the job faster: research, first drafts and call recaps. It does not own a territory, decide who to pursue or build the relationship, and its drafts still need a rep's judgment before they go out. Teams that automate more of the loop use agents with approval steps, and keep a person on anything that reaches a buyer.

Is ChatGPT or Claude better for sales?

For research and writing they are close, so preference decides. The difference is connecting tools: in ChatGPT, full custom MCP servers need a Business or Enterprise workspace as of October 30, 2026. Our Claude for sales guide covers Claude's connectors and plans.

How do I keep ChatGPT sales emails from sounding like AI?

Give it the facts, cap the length and ban the phrases you are tired of reading. The prompts above all limit word count and forbid invented claims, and the copy prompt in our lead generation guide adds a banned-phrase list worth keeping.

Can ChatGPT listen to my sales calls?

ChatGPT Record transcribes and summarizes meetings in the Mac desktop app on Plus, Pro, Business, Enterprise and Edu, for up to 4 hours a session (OpenAI help center, checked October 30, 2026). The notes land in your own chats. For team-wide call scoring and deal tracking, sales teams use conversation intelligence tools such as Gong or Avoma.
