The short version

B2B SaaS lead generation works best when your deal size picks the channels. Under about $5,000 a year, let the product and your search pages do most of the work: a free trial plus pages that catch buyers comparing tools. Between $5,000 and $25,000, add outbound email and calls to a narrow ICP list. Above $25,000, work named accounts with several people in each. Run one inbound and one outbound channel well for 90 days before you add a third. The benchmarks below give you starting rates, and the 90-day plan turns them into weekly work.

Facts checked October 30, 2026. Every benchmark on this page was read on its source page on October 30, 2026. Each comes from a vendor's or an agency's own data, so each row names who measured it and on what sample.

What SaaS lead generation means

SaaS lead generation is the work of getting companies that fit your ideal customer profile into a sales conversation or a product trial. For a B2B SaaS company it has two halves. Inbound brings buyers to you through search, reviews, webinars, ads and the product itself. Outbound goes to them through email, calls, LinkedIn and account-based plays.

Define the stages before you count anything. First Page Sage, whose funnel benchmarks this page uses, calls a lead any non-spam visitor who submits contact details. An MQL is a lead who fits your target market, and an SQL is an MQL who wants the product, fits the budget and is talking to a salesperson.

Timing matters as much as volume. 6sense's 2025 Buyer Experience Report surveyed more than 4,000 buyers in North America, EMEA and APAC. It found that 94% of buying groups had ranked their preferred vendors before first contact with a seller, and that they bought from that early favorite 77% of the time. Your lead generation has to put you on the shortlist before the first call, which is why the plan below runs inbound and outbound together.

Pick your channels by deal size

The deal size, or annual contract value (ACV), decides what a lead can cost you. These bands are our rule of thumb, and no study sets them.

Annual contract valueMotionChannels that payWhy
Under $5,000Product-ledFree trial, search pages for buyers comparing tools, review sitesA rep's hour costs too much per deal, so the product and the page have to sell
$5,000 to $25,000Sales-assistedOutbound email and calls to an ICP list, search pages, webinars, LinkedIn retargetingBig enough for a rep, small enough to need volume
Over $25,000Sales-ledAccount-based outbound, several contacts per account, events, partnersFew buyers, long cycles and a committee on every deal

First Page Sage's funnel data shows the same slope. B2B SaaS companies that sell to small businesses turn 2.3% of website visitors into leads and close 46% of their opportunities. Those that sell to enterprises turn 0.7% of visitors into leads and close 31%.

Inbound channels that work for B2B SaaS

Search pages that match buying intent

Write the pages buyers read the week they choose a tool: "[competitor] alternatives", "[your category] pricing", "[tool A] vs [tool B]" and one page for each integration. They bring fewer visitors than broad guides, and those visitors are closer to buying. SEO also has the best MQL-to-SQL rate in the table above. AI answer engines draw on pages like these too, and the GEO line in the cost table measures that channel.

A free trial

Under about $5,000 a year, the trial is your lead form. In First Page Sage's 2026 data, card-required and no-card trials end within 0.2 customers per 1,000 visitors of each other, and both produce about 2.5 to 3 times the customers of freemium. A card-required trial brings fewer signups who pay far more often, which suits a team that follows up each one. Route signups from ICP companies to a rep on day one and let the rest run on onboarding emails.

Review sites

Claim your G2 and Capterra profiles, ask your best 20 customers for a review, and answer every review you get. Buyers comparing a shortlist read them, so keep new reviews coming in every quarter.

Webinars and email to your own list

Email marketing is the cheapest organic channel in First Page Sage's 2026 cost data, and webinars are third. Run one practical session a month on a job your buyer does every week. Send the recording to everyone who registered, and send the attendees from ICP companies to sales the same day.

Paid search on high-intent terms fills the pipeline while your search pages build. LinkedIn ads let you target by job title and company size. Both got more expensive: First Page Sage measured paid search acquisition cost up 14.1% since 2024 and LinkedIn ads up 31.2%. Use LinkedIn to retarget people who visited your pricing and comparison pages, where the audience is already warm.

Outbound channels that work for B2B SaaS

Cold email

Cold email still books meetings for B2B SaaS when the list is narrow and verified. Since 58% of replies come from the first email in Instantly's data, write that one for one persona with one problem, and keep the follow-ups short. Instantly recommends 4 to 7 touches and a bounce rate under 2%, so verify every address before it enters a sequence. Send from secondary domains with warmed inboxes, and reach 2 or 3 people per account.

Cold calling

Call the accounts that matter most, using direct dials or mobile numbers. Cognism's report found 10am to 11am the best window for long conversations, and the average call lasted 82 seconds. Call the people who opened or clicked your email first, and leave a voicemail that points to it.

LinkedIn

Use LinkedIn three ways: search with Sales Navigator (Core is $119.99 a month), warm up accounts by commenting on posts from the people you plan to email, and send short personal messages once a connection accepts. Sales Navigator shows no email addresses or phone numbers, so pair it with a contact data tool from the table below.

Signal-based outbound

Reach out when something changes at the account: a new VP of Sales, a funding round, job posts for the role your product helps, or a past champion who joined a new company. Signals shrink the list and give the first email its reason. They come from a signal or intent vendor, LinkedIn alerts, or an agent that rechecks a list of people you watch.

Account-based outbound for large deals

Account-based marketing is the most expensive channel in First Page Sage's cost data, so keep it for deals that pay for it. Map 6 to 10 people per account, coordinate email, calls, ads and events across them, and measure meetings per account.

A 90-day SaaS lead generation plan

DaysDo thisDone when
1 to 14Write the ICP from 12 to 24 months of closed-won and closed-lost deals. Pick one problem per persona. Set CRM stages to lead, MQL, SQL, opportunity and closed, with a source on every record. Buy 2 or 3 sending domains and start warming the inboxes.A rep can check any account against the ICP in 30 seconds
15 to 30Build list one: 300 A-tier accounts, 2 or 3 people each, with verified emails and direct dials. Launch a 4-step email sequence, and call the best 50 accounts. Publish two search pages: an alternatives or comparison page and a pricing page. Claim your G2 and Capterra profiles.750 people in sequence, two pages live, first replies logged
31 to 60Review the numbers every Monday. Rewrite the first email until replies climb, add a second persona, run one webinar, and retarget visitors to your pricing and comparison pages. Add one signal, such as new VPs of Sales at ICP accounts. You know your reply, meeting and visitor-to-lead rates from your own data
61 to 90Put more into the channel with the lowest cost per SQL and cut the weakest. Build list two from the accounts that converted. Automate the weekly list refresh. Set next quarter's targets from your own rates. One channel you can scale, one you are testing, and a forecast built on your numbers

What the first 90 days can produce, multiplying the benchmarks above:

  • Outbound. 750 people at Instantly's 3.43% average reply rate is about 26 replies per wave. Your own positive-reply and meeting rates turn those into meetings, so track both from day 15.
  • Inbound. 3,000 monthly visitors to your search pages at First Page Sage's SEO rates (2.1% to lead, 41% to MQL, 51% to SQL) gives about 63 leads, 26 MQLs and 13 SQLs a month.
  • Customers. At First Page Sage's all-channel B2B SaaS rates, one customer takes about 43 leads, because 39% times 38% times 42% times 37% is 2.3%.

Step one of the plan is the ICP, and ICP in sales shows how to build it from your closed-won deals. If you want the list, enrichment and sending steps to run without a person pressing the button, how to automate lead generation walks through three builds.

How Cleanlist AI runs the outbound half

Cleanlist AI runs the list, contact data and sending steps of this plan. Clu, Cleanlist AI's GTM agent, turns your ICP into a list from 1B+ profiles, gets verified work emails and phone numbers from 25+ data providers, and sends the sequence from your own inbox. On our own 500-lead benchmark, it returned 98% verified work emails and 85% direct dials. On Pro, an agent refreshes the list every week and adds new people who match your ICP to the sequence. Starter is $49 a seat a month and Pro $89; the MCP server comes with Starter, and HubSpot or Salesforce sync with Pro. See how Cleanlist AI agents work.

Frequently asked questions

Should a B2B SaaS startup start with inbound or outbound?

Most should start with outbound, because it gives answers in weeks: who replies, which problem lands and which title buys. Search pages and reviews take longer to pay back, so start them in the same month and let them compound. Once you have 20 or more wins, your closed-won data tells you which channel to scale.

How much does it cost to acquire a B2B SaaS customer?

It depends most on who you sell to. First Page Sage's 2025 B2B SaaS report, built on its client data from 2019 to 2024, puts fintech at $1,461 per customer for small business buyers, $4,923 for the middle market and $14,774 for the enterprise. eCommerce SaaS sits at $299, $1,407 and $2,206. Compare the number to your first-year contract value and your churn before you call a channel too expensive.

How many leads does a SaaS company need to hit its target?

Work back from revenue. $1 million in new annual revenue at a $20,000 contract is 50 customers, and at about 43 leads per customer that is roughly 2,150 leads in the year, or about 180 a month. Replace the 43 with your own lead-to-customer rate as soon as you have one.

What is the difference between lead generation and demand generation?

Demand generation creates interest among buyers who are not shopping yet, through content, events and brand. Lead generation captures the ones who are ready, as form fills, trial signups, replies and meetings. A SaaS company needs both, and our lead generation vs demand generation entry compares the goals, tactics and metrics of each.

Should you hire a lead generation agency for SaaS?

An agency makes sense when no one on the team can run outbound and you need meetings within 60 days. Keep the sending domains, the lists and the CRM in your company's name, ask for month-to-month terms, and ask the agency to show its ICP for your account before it sends anything. Once replies show what works, bring the motion in-house.

Can AI do SaaS lead generation?

AI agents now handle much of the work: building the list, finding verified contact details, researching each account and drafting the first email. A person should still own the ICP, the offer and the approval of what gets sent. Our AI lead generation tools comparison covers the options by job.
