The short answer

A direct dial is a phone number that rings one person without a switchboard, either a desk line or a mobile. To add direct dials to a prospect list, upload it to a phone data tool and pay per number. About 25 support conversations this summer were about phones, and the same four questions came up again and again. This page answers them. What is a direct dial phone number?

A direct dial phone number reaches one named person when you call it. It skips the main company line, the reception desk and the phone tree. In B2B data, "direct dial" covers two kinds of line:

  • A desk line assigned to the person at work. It rings at their desk or in their softphone.
  • A mobile, either a company phone or a personal mobile the person uses for work.

What it does not cover is the switchboard: the company's main number, which gets you to a receptionist or a menu. Many purchased lists fill the phone column with switchboards, which is why a list can have "phone numbers" on every row and still produce few conversations.

Most outbound teams want a mobile first and a desk line second, so ask any vendor how many of its direct dials are mobiles before you compare coverage figures.

Where do B2B direct dials come from?

Phone data vendors commonly assemble numbers from several kinds of source: numbers people share through contributory networks and apps, public business sources such as company websites and filings, and data licensed from other vendors. Each vendor's mix is different, and so each vendor finds numbers the others miss. That is the reason waterfall enrichment exists: it asks one provider, and if that provider has no verified number, it asks the next.

Four questions to ask about any phone data

These are the questions our buyers asked most, and the ones worth asking every vendor, us included.

1. Is it a direct dial or a mobile, and is it labelled?

Ask what the vendor's headline phone figure counts. Cleanlist's benchmark figure is a direct dial figure: 85% direct dial on the Cleanlist 500-Lead Enrichment Benchmark, which is our own test on a 500-lead sample. It is not a test of any other vendor. We do not publish a mobile-only rate, so this page does not give one. If mobiles matter most to your team, run a sample of your own list and count them.

2. Is it a work number or a personal one?

A number alone cannot tell you. A mobile can be a company phone or a personal one the person uses for work. Ask the vendor how it labels each number, and check the labels on a sample before you load a dialer.

3. What happens when the number reaches the wrong person?

Every phone data set has some. Common causes are people who changed jobs, two people with the same name, and old numbers that were reassigned. A wrong number looks exactly like a found number to any billing system, so the check is to dial. Before you load a whole list into a dialer, call 20 numbers from it, log what you reach, and judge the list from that.

4. Can I buy phones only, and what does one cost?

Yes, through the Cleanlist MCP server, which starts on the Starter plan, and the public API, which starts on Pro. Both have a phone-only mode that returns a direct dial with no email lookup, at 10 credits per number found. Neither is open during the 14-day trial: they are the two things the trial holds back. Three things matter more than the headline figure:

  • When you are charged. Cleanlist, BetterContact and Snov.io's phone search charge only when a number is found. Apollo charges credits per phone number revealed and ContactOut meters exports, so ask each how it bills a contact with no number.
  • Seats. Apollo prices per user and ContactOut's self-serve plans allow one user per company, so the per-number price holds only for one person. Cleanlist's plans include 2 to 10 seats.
  • What else the price buys. Apollo's credits also pay for its sequences and dialer. ContactOut's plan includes unlimited email reveals. Cleanlist's credits pay for verified results only, and search is free.

How to add direct dials to a whole prospect list

  1. Start from a file with a name and a company for each person. A first name, a last name and the company's web domain is the best combination. A work email you already hold helps too. If you only have company names, find the right people first with our guide to finding decision makers at a list of companies.
  2. Upload it and add direct dials to the enrichment. A direct dial is 10 credits and a work email 1, so a row that gets both is 11. For phones with no email lookup, use the phone-only mode in the MCP server (Starter and above) or the public API (Pro and above), at 10 credits a number. Neither is open during the 14-day trial.
  3. Let the waterfall run. Each row goes to one provider after another until a verified number comes back. A row with no number costs nothing.
  4. Dial a sample first. Twenty calls tell you more about the list than any vendor's accuracy claim, ours included.
  5. Send the list to where you call from. Cleanlist syncs both ways with HubSpot, Salesforce and Pipedrive, and pushes to Outreach, Salesloft and Lemlist, on Pro and above; on every plan you can export a CSV.

Calling rules differ by country, and in the US by state, and they are stricter for mobiles, for autodialers and for text messages.
